Who we are. Dewaele Maritime Consultancy d.o.o. (“DMC Offshore”, “we”, “us”) is the data controller for personal data collected via dmcoffshore.com and any pages where you submit forms or upload documents.

What we collect on this website

  • Contact & enquiry data: name, email, phone/WhatsApp, company and message when you contact us.

  • Candidate/crew application data: CV/resumé, identification details (passport, seaman’s book), certificates & licences, medical certificates and vaccination records (special-category data), next-of-kin, availability and work history.

  • Operational data for clients: vessel details, project needs, contractual contacts.

  • Technical data: basic logs generated by our hosting provider for security and performance (IP address, date/time, user-agent).

  • Cookies: we currently use essential cookies only. If we add analytics or marketing cookies in the future we will show a consent banner and update this notice.

Why we use your data (purposes) & legal bases

  • Replying to enquiries and providing proposals (Article 6(1)(b) contract or 6(1)(f) legitimate interest to run our business).

  • Recruitment & crewing—evaluate suitability, verify documents and certificates, arrange contracts, payroll and travel (Article 6(1)(b) contract; 6(1)(c) legal obligation under maritime/MLC and employment law; 6(1)(f) legitimate interest to staff vessels).

  • Special-category data for candidates (health/medicals): processed with explicit consent (Article 9(2)(a)) and, where applicable, because it is necessary for employment, social security and social protection law (Article 9(2)(b)) and maritime safety obligations.

  • Compliance & record-keeping (Article 6(1)(c) legal obligation).

  • Website security and prevention of abuse (Article 6(1)(f) legitimate interest).

You may refuse to provide special-category data; however, this may prevent us from proposing you for assignments that require it.

Who we share data with

Where necessary we share data with:

  • Shipowners/operators and manning partners involved in a recruitment or project;

  • Medical and training providers for required checks or certifications;

  • Government/flag state and port authorities for immigration, licensing and compliance;

  • Service providers (secure hosting, email, form/file processing, IT support) under GDPR data-processing agreements.

International transfers

If we transfer data outside the EEA, we use appropriate safeguards, such as the EU Standard Contractual Clauses and, where transfers are to the US, participation in or reliance on the EU-U.S. Data Privacy Framework by the recipient where applicable. Details are available on request.

How long we keep data

  • Candidate profiles & documents: up to 3 years from last meaningful contact, unless you renew consent or local law requires longer; certain incident/safety records may be retained longer.

  • Client and contract records/invoices: typically 11 years to meet tax and accounting rules.

  • Contact enquiries: 12–24 months from resolution.
    We delete or securely archive data once the applicable period ends.

Security

We apply technical and organisational measures such as encryption in transit, access controls, least-privilege access, regular backups and staff training.

Your rights

Under GDPR you have the right to access, rectify, erase, restrict processing, object, and data portability, and the right to withdraw consent at any time (does not affect prior processing).
